What counts as an "active patient"?
A patient with an open episode of care during the billing month. Discharged and archived patients don't count against your total — you're never charged for keeping records you're required to keep.
What counts as a "clinical user"?
A staff member who documents care — nurses, therapists, aides, and clinical managers. Billing and office staff accounts are included at no additional charge.
What happens when I go over my included patients or users?
Nothing dramatic. Each plan shows its per-patient and per-user monthly rate for usage above the included amounts, and that's exactly what appears on your invoice. Usage is measured daily and reconciled monthly, so a brief census spike doesn't lock you into a higher tier.
How does annual billing work?
Annual plans are billed once a year at the annual price shown (the equivalent monthly rate appears when you flip the toggle). Per-patient and per-user usage above your included amounts is still billed monthly.
Are there setup or implementation fees?
No. Your workspace is provisioned when you sign up, and onboarding help is included in every plan. Enterprise customers get a dedicated success manager for migration planning.
Is a Business Associate Agreement (BAA) included?
Yes. A BAA is available on every plan, including Starter — it's a HIPAA requirement, not an upsell.
Can I change plans later?
Yes, at any time. Upgrades take effect immediately; downgrades take effect at your next billing cycle.
